How to Migrate Users to New Accounts

At Design Huddle, user accounts are closely tied to their original organization due to the many dependencies such as brands, user groups, and project permissions. Because of this, users cannot be manually moved between Accounts within the platform.

However, if your team does not have any specific permissions to be preserved, we offer a secure, API-driven solution to migrate users to a new Account. This process involves programmatically cloning project data and reassigning user credentials.

If your team does not have API access (turnkey implementations), this process can be completed by Design Huddle as a professional service. Please note that this is a paid service, and costs will depend on the number of users being moved.

Migration Process Overview

Below is a step-by-step overview of how the user migration process will work:

  1. Kickoff Meeting

    • We’ll schedule a meeting with your team to review your migration needs and discuss the technical and timeline implications.

  2. User Mapping Template Shared

    • After the meeting, you’ll receive an User Account Template to fill out. This template will collect:

      • The users being moved

      • Their destination Account information

      • Any other required data (starred columns must be completed)

  3. Template Review & Approval

    • Once submitted, the Design Huddle team, will review the spreadsheet for completeness and approve it for processing.

  4. Client Creates Destination Accounts

    • Your team will be responsible for creating the destination Accounts (if they do not already exist).

  5. Design Huddle Creates Temporary Users

    • Using your submitted data, the Design Huddle team will create "dummy" user accounts under the destination Account(s) to facilitate migration.

  6. Project Migration

    • A Design Huddle Solutions Architect will clone the original projects to the newly created user accounts in the destination Account(s).

  7. Client Review

    • You will review and confirm the accuracy of the cloned content and user mappings.

  8. Finalize Users

    • Design Huddle will archive the original user accounts and update the new user accounts with the correct email addresses and user IDs (if applicable).

  9. Password Reset

    • Our backend development team will securely reset passwords for all affected accounts. Your users will then receive updated credentials.
