Understanding User Types & Permissions

This article outlines the different user types available within your Design Huddle instance, including their permissions, capabilities, and how billing applies to each.

Overview of User Roles

Design Huddle provides four primary user roles, each designed to support different levels of access and control:

  • System Admin

  • Account Admin

  • User

  • Guest User

Each role has specific permissions across account management, templates, brand assets, and project creation.

System Admin

System Admins have full control over the entire instance.

Key Capabilities:

  • Full access to all accounts and settings

  • Create, manage, and delete users across all accounts

  • Log into other user accounts for troubleshooting/support

  • Create, lock, and publish templates

  • Approve or reject projects

  • Create and manage brands and asset libraries

  • Configure all system-level settings

This role is typically reserved for platform owners or central administrators.

Account Admin

Account Admins manage a specific account within your instance. Their permissions can be customized based on your needs.

Key Capabilities:

  • Manage account-specific settings and users

  • Create, lock, and publish templates within their account

  • Approve or reject projects submitted by users in their account

  • Create and manage brand assets assigned to their account

  • Access assigned brand assets

  • Optionally log into user accounts within their account

⚠️ Note: Account Admin permissions are configurable. You can enable or restrict specific capabilities depending on your use case.

Users

Users are your end users who create and customize content.

Key Capabilities:

  • Create projects from templates

  • Optionally create projects from scratch (if enabled)

  • Customize templates using the editor

  • Access assigned brand assets

  • Projects are stored forever

Users are typically billed based on usage (see cost models below).

Guest Users

Guest Users are anonymous or unauthenticated users who interact with the editor.

Key Characteristics:

  • Do not require login

  • Typically access the editor after viewing a template preview

  • Can customize templates and create projects

  • Projects are stored for up to 30 days only

  • Tracked via browser cookies

Billing:

  • Charged only in months when they are active

  • Unlimited editor sessions within the same month count as a single active user

 

Additional Cost Models

In addition to standard users, Design Huddle offers flexible, usage-based options:

Visitor Users

Visitor Users are individuals who browse personalized template previews but never open the editor.

Key Characteristics:

  • View dynamic, pre-personalized template thumbnails

  • Do not interact with the editor

  • Ideal for marketing and preview experiences

Billing:

  • Lowest-cost user type

  • Designed for high-volume, low-interaction use cases

PDF Exports

PDF exports allow you to generate high-quality documents without requiring a user session.

Key Use Cases:

  • Generate personalized PDFs after a visitor selects a template

  • Batch generation (e.g., emailing personalized files to a list)

  • No editor interaction required

Billing:

  • Charged per export

  • Not tied to a user seat or session

Image Exports (PNG/JPG)

Image exports function similarly to PDF exports but produce image files.

Key Use Cases:

  • Generate high-quality PNG or JPG files

  • Support personalized or static output

  • Enable automated or backend-driven workflows

Billing:

  • Charged per export

  • Not tied to a user seat or editor usage
