How to Add Multiple Profiles Under a Single Email Address
Multiple profiles allow one user to access more than one account or location using the same email address. This is helpful when a single person manages multiple locations, brands, or business units and needs to switch between them without maintaining separate logins.
When to Use This
Common use cases include:
- Franchisees who manage multiple locations
- Users who work across multiple accounts
- Teams that need different roles or profile settings for the same user
- Organizations that want to keep one email address associated with several account profiles
How It Works
Each profile is linked to the same user login but can be associated with a different account, profile name, role, status, and user ID.
One profile is designated as the Primary profile. Additional profiles can be added and used as secondary profiles.
When the user signs in, they can switch between their available profiles from the profile menu in the top-right corner of the workspace.
How to Add a Profile
To add another profile to an existing user, follow these steps:
- Go to Admin.
- Select Account Users from the left menu.
- Locate and open the user you want to update.
- Select Linked Profiles.
- Click Add Profile.
- Select the Account the new profile should be associated with.
- Enter a Profile Name if needed.
- Enter a User ID if applicable.
- Select the appropriate Status and Role.
- Click Create.
Once created, the new profile appears under the user's Linked Profiles list.
Switching Between Profiles
Users can move between their linked profiles without signing out.
To switch profiles:
- Click the profile menu in the top-right corner of the workspace.
- Open Profiles.
- Select the profile you want to use.
Once selected, the workspace will switch to that profile so the user can access the corresponding account and content.
Best Practices
Use clear profile names when a user manages several locations or accounts. For example, profile names can identify a location, branch, or business unit so users can quickly tell which profile they are selecting.
For best results, keep profile names consistent across your organization. This can help users navigate between profiles more easily.
